Policies for Renting or Using McKenna Hall

Preamble

Our Parish Hall (McKenna Hall) has been constructed primarily for use by our parishioners.  It provides a place for meetings, get-togethers, reunions and gatherings after Sacraments have been celebrated.  It is also used for parish socials (dinners, dances, etc.).  It may be used for events of interest to the community (blood drives, Boy Scout and Girl Scout groups, etc.)  It may be rented to for-profit groups for special occasions and to non-profit organizations.

We as a non-profit organization do not seek to rent to hall to make a profit.  However a fair amount may be asked of the renter to cover the expenses of upkeep, clean up and utilities.

If at all possible, the Hall will not be rented out during a time when Mass is being celebrated in church.  (This would be both out of deference to the importance of the Holy Eucharist and the practical problem of having enough parking space).  So the Mass should always take precedence.

 

Fees

All Parish organizations may use the hall without charge.

There will be no charge to a parishioner for use of the hall after a Sacramental celebration in which they are involved (a wedding, first communion, wedding anniversary that is celebrated at Mass, etc.).  In the event of a family reunion/gathering (of family belonging to the parish), although there is no rent charged, a donation is suggested.

For a non-parish or a business event (even if a parishioner in involved in that business) the fee will be $150.00.

A $75.00 cleaning deposit is collected form each renter (unless the PCCW is providing the meal).  This deposit check is held until after the activity, at which time it is refunded as long as the areas are cleaned up and things are put away to our satisfaction.

 

Special Groups determined and dealt with by the Pastor.

This fee may be

1) Waived, (in case of a group serving the community, for example, the Girl Scouts or Boy Scouts),

2) Or may be charged a fee to meet costs for utility and/or cleanup if it should so apply (e.g. for a club for the arts such as the Bolivar Art Club or the Woodcarvers Club.)

3) Charged with a partial fee for one, two or three hours to cover utilities and/or clean-up (as in the case of a political meeting which is non-profit but not as such a community service organization).

 

These special categories, being a non-parish category, will always take last place to any parish renter or plans of the parish and would be handled at the discretion of the Pastor.

 

We are required by Catholic Mutual, our insurers, to receive proof of insurance from any organization that uses the Hall.  (E.g., the Girl & Boy Scouts, Hospitals, etc.)  This is for our protection against lawsuit.

For all other renters, a document is signed by the renter freeing our parish and diocese from any responsibilities/liabilities if injuries occur while the facility is in use.

 

Please note:

1) We are subject to Diocesan regulations in regards to gambling and use of alcohol.   The Guidelines read: State laws and regulations must be followed in regards to gambling and the use of alcohol (page 75, Miscellaneous # 5).

2) The entire building (including restrooms) is a smoke free zone. 
All applications for use of the hall are subject to the approval of the Pastor or the appropriate committee.

3) There will be no lending out of tables, chairs or roasters from the Parish Hall.
